Onboarding Guide

DappleOS delivers a structured onboarding experience designed to set your clinic up for long-term success. Every step is grounded in clinical best practice, ensuring your system is configured with the right safeguards to protect data, streamline operations and drive performance from day one.

Step 1: Setup Wizard

The Setup Wizard is a self-guided tool that helps you configure the core operational data your clinic needs to run on DappleOS. This includes treatments and their options, products, pricing and appointment settings. It’s a detailed but essential step, and we’ve designed the Wizard to guide you through it as quickly and accurately as possible.

In the background, DappleOS structures your data to align with clinical and regulatory best practice, so the most complex and time-consuming configuration is handled for you.

You can move through the Wizard at your own pace, fitting it around your regular clinic schedule. Your progress is saved at every step, so you can pause at any time and pick up exactly where you left off.

 


Step 2: Setup Checklist

Once the Wizard is complete, you’ll enter DappleOS for the very first time. From here, your Dashboard becomes the central hub for setup and adoption. You’ll be welcomed with a message from our Founders, and see a clear timeline of your journey through to your Go Live date.

You’ll find a Setup Checklist with the remaining configuration tasks, each supported by instructional guides and video tutorials.

You can complete tasks in your own time and mark them as completed. The status updates automatically, so you always know what’s done and what’s outstanding.

 


Step 3: Training

Training is delivered through self-paced courses built into DappleOS. Each course includes articles and video modules to guide users step by step.

A checklist of these courses appears on every user’s Dashboard so individual progress can be tracked. Admins have full visibility of both individual and team progress, making it easy to see who has completed their training and who still needs support.


Step 4: Data Migration

There are two pathways for migrating your data into DappleOS.

  1. The Guided Importer is simple to use and requires no technical experience. Only core records are imported, including client details, notes and upcoming appointments.
  2. The Advanced Importer supports a full data migration but must be completed with IT support or a migration partner.

Both options are self-managed by your clinic. Our team is here to support you, and provide guidance where needed.


Step 5: Go Live

Your go-live date is set in advance and visible on your dashboard. We use a phased approach to keep the transition smooth and manageable. Each stage is introduced gradually and adopted thoroughly before moving on. This ensures staff adjust with confidence, and helps you unlock the right features at the right time.


Ongoing Support

We’re here to support your clinic’s success at every stage, with ongoing guidance and resources tailored to your growth.

You’ll have access to:

  • Ongoing check-ins and strategic support from your dedicated Success Manager
  • High-touch assistance and proactive monitoring during your first weeks live
  • Access to training videos, live chat and a searchable Knowledge Base
  • Regular feature updates, with optional webinars and peer learning opportunities
